Create Your Duty Roster in Six Easy Steps

Introduction

This tool will let you create an employee schedule to share with your employees.

Step 1 to 3 below will take you through configuring a Schedule Template. The Schedule Template makes it easy to schedule repeating shifts. The Schedule Template can be configured for one to four weeks, before the schedule repeats itself (a.k.a. rolling schedule or rolling roster).

Step 4 is the Schedule Template workbench. It allows for you to easily mark up who is going to work when.

Step 5 prepares and executes the rollout of a schedule. You choose the date on which the schedule should start and the date on which it should end. Then you generate the schedule. When the schedule is generated it is saved in the cloud, and links are generated to edit and eventually share the resulting schedule.

In Step 6 you access the edit-link generated in Step 5, to adjust the schedule generated based on the template. You will typically need to do this, to take holidays and/or employee requests into account, that impacts specific calendar days. Then you share the schedule with your employees by sending them the link generated in step 5.

1/6 List Employees and Working Hours

Add names and normal working hours for all employees that are to be part of the schedule
(Edit example data and add/delete as appropriate)

2/6 Specify Number of Weeks Before Roll

Choose how many weeks should be scheduled before the schedule repeats itself



3/6 Configure Schedule Template Workbench - Set Clock-format, First Day of Week, and Time Span Limits

Set Clock-format - should the Schedule Template use 12-hour or 24-hour clock format



Set First Day of Week - should the schedule start Sunday or Monday



Choose start and end time of day, that limits the time span when shifts are scheduled in the Schedule Template





4/6 Use Schedule Template Workbench to Create a Repeating Schedule

Schedule who works when by using the On duty tool. The Unavailability and Staffing Need tools allows you to easily setup guardrails for the scheduling.

5/6 Generate schedule

Set schedule title and choose the calendar period, that the template should be rolled out to. Then generate the schedule from the template by pressing the button.









6/6 Adjust the Generated Schedule and Share With Your Employees

When the schedule is generated in the step above, it is saved to the cloud and made available via. two links

  • A link that allows editing the the schedule
  • Another link allowing to share a read-only version with your employees
Further work with the schedule is done using these links and you will not need to use the Scheduling Workbench again, before you need to generate a new schedule.

Note: You need to Bookmark/Save the links below, so that you have access to the schedule when leaving this tool.
